Clay County Collaborative Coordinator

The current coordinator, Dawn Tommerdahl, is an independent contractor who provides the Collaborative project management and coordination services.  The section below describes the coordinator's responsibilities and performance standards.

Scope of Work

1. Develop and implement policies and procedures to ensure that the Collaborative operates smoothly.
2. Facilitate communication with and between Collaborative partners.
3. Develop and implement Collaborative calendar.
4. Organize standing and special meetings of the Collaborative, including but not limited to meetings of the governance board, administrative group and work groups.
5. Provide routine maintenance and updates to the Collaborative website.
6. Plan, organize, facilitate and coordinate activities of work groups, administrative group and governance board activities and provide follow-up as necessary.
7. Prepare all reports required, including Coordinators and work group reports for each administrative and governance level meeting, the Collaborative work plan, Annual State Collaborative Report, collaborative annual report, and any grant reporting as required.
8. Conduct financial planning/budgeting, accounts payable and receivable and financial reporting activities, coordinating with the fiscal host.
9. Provide follow up from meetings as required, including minutes.
10. Facilitate meetings between participating agencies & policy makers to achieve collaboration, system change and service integration.
11. Ensure communication between and among Collaborative project staff and its work groups, and provide information as requested.
12. Represent the Collaborative at local/regional/state collaborative meetings.
13. Coordinate or provide training as requested.
14. Research potential funding information and make recommendations to the appropriate work groups. (Any grant-writing will be contracted separately.)
15. Respond to requests for information and participation by Collaborative partners
16. Continually learn about issues related to collaboration and the areas of responsibility of work groups.
17. Monitor and communicate policy and legislative changes that impact the Collaborative and its work.
18. Provide letters of support as requested for partners.
19. Other duties as reasonably assumed.

Performance Standards

1. Appropriately balance and attend to the needs for both collaborative ‘process’ and ‘outcomes.’
2. Articulate the goals of collaboration, systems change and service integration.
3. Attend to the morale of the collaborative and its work groups, and takes action to effectively address issues that threaten people’s willingness to be at the table.
4. Communicate clearly and appropriately.
5. Deal fairly and equitably with both competing interests and different work groups.
6. Create an atmosphere of hospitality and openness.
7. Design effective group problem-solving processes.
8. Engage partners in decision making as appropriate.
9. Ensure that parents/consumer representatives are treated with respect and valued as partners in identifying and addressing system needs.
10. Facilitate systems change by encouraging partners and work groups to identify and address broader issues and barriers.
11. Provide a structure in which partners’ input is sought and valued.
12. Be accessible and responsive to feedback and suggestions.
13. Be respectful of group members and group process.
14. Keep people informed about information, meetings and opportunities of interest to them.
15. Manage time and workload of collaborative groups for efficiency of effort by Collaborative participants, demonstrating sensitivity to their individual workloads and their organizational resources.
16. Maintain standards for work, meetings and events that make people proud to be associated with the Collaborative.
17. Promote collaboration among partner organizations.
18. Provide effective orientation to new participants.
19. Provide positive leadership.
20. Provide work groups accurate and timely information that is easily understood, on which they can confidently base decisions.
21. Think and act strategically to addresses challenges to the Collaborative.
